Job Description:

The Ypsilanti Youth Orchestra offers music education and performance opportunities to students aged 3–18 years. YYO serves youth of diverse backgrounds and socioeconomic status and is tuition free for students and families. To support these efforts, the YYO is seeking a part-time Operations Manager to assist in effective implementation of all activities for the YYO including facilitating weekly rehearsals (Saturday mornings), concerts, special events, parent-teacher engagement opportunities, and to a limited extent, the tracking of communications and fundraising processes. The YYO includes an orchestra program, roughly 12 beginning and intermediate classes (based on enrollment), the Galler String Quartet, and the YYO Jazz Ensemble. The position of Operations Manager both collaborates with and reports to both the President and the Board of Directors.

Responsibilities

Weekly (September - May)

  • Coordinate, facilitate, and manage operations for rehearsals, performances, and special events; oversee logistics for rehearsal and performance venues, serving as a liaison with internal and external stakeholders
  • Disseminate logistical information regarding rehearsals and performances to students, parents, and staff
  • Communicate regularly with students and parents via email, telephone, social media, and in person; assist President with the preparation of weekly e-mail reminders to students and families (MailChimp)
  • Assist President in monitoring student attendance and tracking absences; maintain accurate records for reporting and analysis (Google Forms)
  • Supervise parent volunteers for set-up/break-down for Saturday rehearsals, direct annual orientation/training of volunteers and staff (SignUpGenius)

Per-session (bi-annually)

  • Assist with processing incoming registration forms of students and contracts of personnel.

As-needed

  • Update organization’s website with current information on classes, upcoming concerts, and other events such as the summer Jazz Ensemble series (Square Space)
  • Facilitate teacher and staff compliance with lesson planning, procedures, and class scheduling, including semi-annual meetings with President and each instructor to establish objectives and monitor their attainment in each class

Preferred Skills:

Educational/Professional Requirements:

  • Bachelor’s degree in music or arts administration and experience in managing operational logistics in a non-profit, performing arts setting; thorough knowledge of music and a level of experience as a music educator are preferred
  • Proven ability to effectively manage a staff, a rigorous schedule, and the needs and expectations of a wide range of constituents
  • Demonstrated skill in prioritizing and addressing a broad range of tasks in a fast-paced environment with meticulous attention to detail
  • Proven effectiveness and desire to work with student musicians
  • Excellent written and verbal communication skills
  • History of effective interpersonal skills with ability to mitigate sensitive and/or challenging issues
  • Experience with software and information technology noted under primary responsibilities is preferred
  • Candidate must have significant experience in working independently and must be selfmotivated

Additional Qualities and Traits:

  • A congenial nature with the ability to communicate effectively and thoroughly
  • Patience in working with volunteers and teachers-in-training/mentors
  • Successful experience working with students from diverse cultural, racial, socioeconomic, and ethnic backgrounds is desirable

Time Requirements: Average 12 hrs/week Sept-May; 6 hrs/week June-Aug. Must attend YYO’s weekly classes/rehearsals each Saturday morning between September and May (certain holiday weekends excluded), two Sunday concerts (December and May), and quarterly board meetings.

Other Requirements: Candidates must be able to lift a minimum of 25 pounds. Vehicle preferred but not necessary if transit schedules guarantee timely arrival at scheduled rehearsals and events. Candidate should have access to a personal computer and the ability to work in a way that protects the privacy of our students and donors.
